Job Overview:
ONES is seeking a qualified professional to provide program coordination and executive support to OCAR ARIMD located at Fort Belvoir, VA. This includes Directorate level support for the Executive leadership office, Assets Division, and the Sustainment and Resiliency Division (SRD), with minor support to the Resource Management Division (RM). Location: Office of the Chief of Army Reserves (OCAR), Army Reserve Installation Management Directorate (ARIMD), Fort Belvoir, VA
Key Responsibilities:
- Oversee OCAR ARIMDs tasking responses, work activities, assignments, and projects. This includes processing formal taskings and associated correspondence annually.
- Prioritize, maintain, and provide weekly reviews of taskers by team.
- Ensure compliance with Army Regulation 25-50 and respond in a timely matter in responding and handling taskers including delegation of authorities and policies memorandums, information papers, talking points, and executive summaries with various stakeholders for clarity and successful completion.
- Proficient in Enterprise Task Management Software Solution (ETMS2) to track tasker progress and verify compliance, this is the tracking system required by Headquarters, Department of the Army (HQDA).
- Integrate into and support ARIMD knowledge management systems and practices.
- Manage Executive Schedules: Organize and maintain calendars, schedule appointments, and coordinate meetings to optimize the executive’s time.
- Communication Management: Prioritize and respond to taskers, acting as a liaison between the executive and internal/external stakeholders.
- Document Preparation: Prepare reports, presentations, and correspondence, ensuring all materials are accurate and professionally formatted.
- Meeting Coordination: Organize and take notes during meetings, ensuring follow-up on action items and maintaining records of discussions and decisions.
- Administrative Support: Handle various administrative tasks to support daily operations.
Required Skills and Qualifications:
- Bachelor’s Degree Management, Business or related degree preferred
- Minimum of 5 years of professional experience with knowledge of the following activities: Task Management and Delegation, Leadership and Team Support, Briefings and Presentation Support, and Inventory Management.
- Candidate must be a U.S Citizen, have a current driver’s license, and be able to obtain and maintain a Secret Clearance.
- Relevant professional experience in support of DoD operations at a headquarters DoD land holding command and/ or Headquarters, DoD or Service office (e.g., Office of the Secretary of Defense, HQ Army, HQ Navy/ Marines, or HQ US Air Force). Most preferably relevant USAR experience.
- Organizational Skills: Exceptional ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Willingness to participate as a team member.
- Communication Skills: Strong verbal and written communication skills to interact professionally with various stakeholders.
- Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, Access, PowerPoint) and other relevant software tools.
- Problem-Solving Abilities: Resourceful and proactive in identifying issues and implementing solutions independently.
- Confidentiality: Ability to handle sensitive information with discretion and always maintain confidentiality.
Position Type and Expected Hours of Work:
This is a full-time, exempt position with the typical work schedule of 40 hours per week, Monday through Friday 0730 – 1600.
Travel anticipated 4 – 6 times per year.
